Custom Fixed Assets Solution for a Global Coffee and Tea Retailer

Overview

Developed a custom Fixed Assets solution in Microsoft Dynamics 365 Finance & Operations for a Global Coffee and Tea Retailer to manage assets on a quantity basis rather than relying solely on value-based tracking. Given the client’s franchise and company-owned store model with a large number of retail locations, the standard fixed asset functionality was insufficient. The client required depreciation, transfers, and disposals to be managed per quantity and per location to accurately reflect asset usage across stores.

Scope

• Enhanced Fixed Assets functionality to support acquisition, transfer, and disposal (sale or scrap) of assets based on quantities.
• Implemented depreciation calculations considering both asset quantity and store location.
• Delivered custom reporting to provide near real-time visibility into fixed assets across all retail locations.

Key Activities

• Requirement Analysis: Gathered detailed requirements from the client to enable quantity-based fixed asset tracking instead of standard value-only tracking.
• Solution Design: Designed a scalable architecture to support full asset lifecycle management (acquisition, transfer, sale, and scrap) at the quantity level across multiple stores.
• Development: Built custom extensions to enable quantity tracking within the Fixed Assets module, ensuring seamless alignment with standard D365FO processes.
• Depreciation Logic: Configured depreciation calculations to account for asset quantities and their assigned store locations.
• Reporting: Developed custom SSRS reports, including a Fixed Asset On-Hand Report, to provide visibility into asset availability and distribution by store.
• Testing & Validation: Conducted functional testing and user acceptance testing (UAT) to validate end-to-end asset lifecycle scenarios.
• Documentation: Prepared user guides and technical design documentation to support ongoing operations and knowledge transfer.
